District Data Support Analyst

The California College Guidance Initiative (CCGI) is looking for an analyst to join the team that supports Local Education Agencies (LEAs) as they implement transcript-informed functionality on CaliforniaColleges.edu.
The Data Services District Data Support Analyst, will oversee the receipt, processing, troubleshooting and data validity reviews of district transcript files including: (1) Recurring management of transcript files from various LEAs in California, (2) Troubleshooting discrepancies found by educators, (3) Supporting LEA staff to resolve the file related issues. Additionally, the District Data Support Analyst will work closely with our Technical Assistance staff to resolve cases related to transcript files.
The Data Services District Data Support Analyst, is responsible for working closely with LEA experts to ensure transcript data is provided in a timely manner and is accurate. For new LEAs coming on board, this typically involves supporting LEAs to create the transcript files or to advise on issues when creating the transcript files. This position does not write production code. However, a level of comfort with the software tools and languages in use at CCGI (SQL, Jira, Excel, Salesforce) is preferred.
The ideal candidate for this position has experience working in K-12/higher Ed data systems and/or student records management and understands the nuances of student transcript data. The candidate should have an interest in large educational systems and the equity challenges that students face when navigating such systems.
We work to solve large scale, system-level problems. You must be comfortable working with unknowns and ambiguous solutions, as well as passionate about promoting public education and advancing educational equity. This role reports to the Director, User Support.
What Will You Be Doing?
- Regularly process and review logs for transcript files in AWS and CaliforniaColleges.edu environments.
- Develop documentation that considers the technical and end user needs to create the transcript files and convey data validity concerns in an articulate, actionable manner.
- Ensure progress on cases in accordance with case management specifications.
- Support ongoing quality assurance testing on transcript files for existing and onboarding districts.
- Performing research and designing test case scenarios to identify system bugs.
- Support investigation and resolution of transcript file issues both structural and data validity.
- Develop and maintain documentation that supports the processing of transcript files.
- Communicating and/or virtually meeting with Data Leads in CCGI partner LEAs to resolve data file related items.
- Other duties as assigned by your supervisor.
What Technical Skills Do You Need?
- Bachelor’s Degree in a Business, Math, Information Technology related major or equivalent professional experience.
- At least two years of cumulative professional experience.
- At least three years experience with K-12 or higher education transcript data sets. Familiarity with CALPADS data sets is a plus.
- Minimum of 2+ years’ experience working with and analyzing complex data files and file formats.
- High level of comfort working with large data sets using text editors and SQL or similar language to query Transcript files.
- Familiarity with one or more K-12 student information systems (SIS), such as PowerSchool, Aeries, Infinite Campus, Synergy, etc., is required.
- Demonstrated ability to develop technical documentation.

More About the Data Services Team
- The team is composed of individuals, working remotely across California, that support LEAs in the state of California to ensure timely and accurate transcript data is processed in CaliforniaColleges.edu.
- The team does NOT include data scientists, developers or programmers. We work closely with the Director of Integrations and the Director of Cloud Infrastructure to resolve bugs or anomalies when processing transcript files. In addition, we work within a team that focuses on providing technical assistance to all LEA’s using transcript-informed functionality on CaliforniaColleges.edu with respect to resolving Course Management Portal (CMP) discrepancies and improving transcript transcription processes.
- We are looking for individuals who bring experience with them to the role, but also expect all team members to continue to grow their skills through active and ongoing learning. This role reports to the Deputy Director, Data Services.

The California College Guidance Initiative (CCGI) is a legislatively authorized service provider to all California school districts as established in California Education Code Section 60900.5. CCGI is a state-funded nonprofit that works in partnership with California’s educational institutions—K-12 Local Education Agencies (LEAs), the California Community Colleges (CCC), the California State University (CSU), the University of California (UC), and the California Student Aid Commission (CSAC)—to smooth the path to college and career for all California students, especially those who have been underrepresented in higher education.
CCGI advances efforts to improve students’ transitions from K-12 to higher education by streamlining the college and financial aid application processes, while providing educators with the information necessary to inform data-driven counseling practices and real-time decision-making.
CCGI achieves this work through management of CaliforniaColleges.edu, the State of California’s official college and career planning platform for 6th-12th grade students. The platform is free for LEAs and serves as an infrastructure for postsecondary planning, data-driven student guidance, and the sharing of student records from K-12 LEAs to California’s public higher education systems and CSAC.
CCGI is housed at the Foundation for California Community Colleges but is an autonomous initiative with its own mission, goals, and leadership team.
All candidates must currently live full time in California.
The salary range for this position is: $75,000 – $90,000
